Tall Emu CRM (TECRM) is a database system that allows customer, supplier, associate, competitor and any other business entity’s information to be centralised into a single location and then shared amongst all staff members. Although this is a well-known function for CRM systems, TECRM differentiates itself with its major features where more benefits can be realised quickly and easily.
Functions
TECRM is packed with capabilities over and above a standard CRM. Functions such as an interface with Accounting systems, Product module, Price Books, Quoting, Sales Order, Purchase Orders, mailing lists and marketing management. However, three major functions in TECRM are discussed below.
Customisation of unique and individual requirements is also possible however such modifications first require direct conversation between ZIENNA Logic and a company executive to determine the extent of effort required.
Dual merge system of Email and attached Word Document
TECRM includes a unique dual-merge system where an email and its attachment are merged at the time of sending. This means an email template can be merged with personalised data, can also have an attached letter which in turn is merged with data, and in turn converted to a PDF and attached to the merged email. A typical benefit is where the attachment contains the merge codes for prices of particular products: whenever the email template is sent to a client, the attachment will automatically merge in the current price of that product and the client receives a personalised email together with a PDF file that contains the current prices.
Dual-merging adds enourmous business benefits where a company communicates en masse with attached product brochures and the current prices. As the prices is change in the Product module the prices are correctly inserted into outgoing email where the merge code exists.
Quoting
The Products module links in with the Quotation module (as well as the above merging of Product information into email and attachments). The Quotation module is a highly flexible system where quotations can be quickly generated, linked to an Opportunity, Customer or Prospect, emailed as an attached PDF, all automatically generated inside the CRM system. The email is stored as a communication event so the history is retained. The quotation is visible within the Opportunity, Contact and the Company module.
Products are defined with prices based on Price Books and Discounts based on quantity breaks. The number of Price Books and Discounts is unlimited.
Outlook Interface and Blackberry synchronisation
Installed into Outlook 2007 and Outlook 2010 is a feature named the Outlook AddIn. The AddIn consists of 3 buttons that provide synchronisation of information between TECRM and Outlook.
TECRM’s Outlook AddIn’s configuration allows specific selection of folders in Outlook that are to be synchronised. For example, exclude the Suggested Contacts folder, include the Company Contacts, exclude Personal Contacts.
Email messages can be sent to TECRM directly from Outlook, which are then stored against the Sender and Recipients including those on the CC list.
When using a Blackberry device, the Contact list and Calendar list can be managed from TECRM. With the understanding that any Contact or Calendar in Outlook will automatically appear on a Blackberry, TECRM will synchronise selected data with Outlook.
Contact names stored in Outlook can be sent to TECRM. Any Contacts marked as Private will not be sent to TECRM. In a reciprocal way, a Contact in TECRM can be selectively sent to Outlook. In TECRM a Contact can be ‘marked’ for synchronisation with Outlook using a button. Each User can now manage their own personal list of Contacts to be sent from TECRM to Outlook and then to their Blackberry (or any other device that synchronises with Outlook).
Calendar items are also synchronised in the same way however they synchronise based on a date range of 6 selections of “1 month back” to “6 months back”. Any future Calendar items in TECRM will synchronise to Outlook with a push of a button.
Any appointments created in Outlook will synchronise into TECRM with the push of a button. Private Calendar items in Outlook will not synchronise into TECRM.
